Inviting people and setting their roles

Inviting people and setting their roles

People are invited at three levels: a project, a workspace, or the organization. The members panel looks the same in all three. What differs is the reach of the role you give.

Where to invite

Invite at They get access to Find it
Project That one project The project's Members tab
Workspace Every project in the workspace Workspace settings
Organization The organization Organization settings

Invite at the narrowest level that covers the job. Someone who needs one project should be a project member, not a workspace member.

Inviting someone

  1. Open the members panel at the level you want.
  2. Enter their email address.
  3. Choose a role.
  4. Send the invitation.

They receive an email. If they do not have a Twinsity account, they create one on first sign-in.

Which roles each level offers

The dropdown differs by level:

Inviting at Roles offered
Project Viewer, Editor
Workspace Viewer, Editor, Creator
Organization Admin

Admin roles are not in these lists. An administrator is appointed rather than invited as one, so promote someone after they are already a member.

Two points that catch people out:

  • Editor includes deleting projects, not just editing content.
  • Only Creators and Admins can start new projects, so an inspector who sets up their own projects needs Creator at workspace level.

Roles are covered fully in Understanding roles and permissions.

Changing or removing access

Both are in the members panel: change someone's role from the dropdown next to their name, or remove them entirely.

Removing someone from a workspace does not remove them from projects they were invited to individually, so check both. When someone leaves altogether, an organization administrator should remove them at organization level.

Why can't I invite anyone?

What you see What it means
No invite control You do not have permission to manage members at this level.
Only Admin in the dropdown You are inviting at organization level, which offers that one role. Invite at workspace or project level for anything narrower.
I invited someone but they cannot see the project Check which level you invited them at. A workspace invite does not grant a project they are not in, and a project invite does not grant the workspace.
I cannot remove someone They may have been invited at a higher level. Check the workspace and organization.
