Adding images, videos and documents as evidence

Beyond the images already in your project, you can attach your own files to an observation: a close-up taken on site, a short video, a lab report as a PDF.

Open the observation, then go to the Files tab.

Attaching a file

  1. Click Add file.
  2. Choose one or more files.

Each file uploads in the background with its own progress bar, and appears in the list when finished.

Which file types are accepted

Kind Accepted
Images .jpg, .jpeg, .png, .webp, .svg
Video .mp4, .m4v, .webm
Documents .pdf

Images and videos straight from an iPhone usually need converting. iPhones record video as .mov and, depending on settings, images as HEIC. Neither is accepted. Two ways round it:

  • On the iPhone: Settings → Camera → Formats → Most Compatible. New images and videos are then .jpg and .mp4.
  • For files you already have: AirDrop or email them to yourself, which usually converts them, or convert them on your computer.

There is a maximum file size, and it depends on how your organization is set up. If a file is too large, you will be told when you try to attach it.

Viewing an attachment

Click a file's row to open it in the viewer. Click the same row again to close it, or press Esc.

The viewer handles images, 360° panoramas, video and PDFs. Anything else can be downloaded but not previewed.

Downloading and removing

Each row has a menu with Download and Delete. Deleting asks you to confirm first, and cannot be undone.

360° panoramas

A panoramic image is recognised automatically and opens in the viewer as a navigable 360° view. Drag to look around. No special step is needed when attaching it.

Why can't I attach a file?

What you see What it means
Add file is greyed You do not have permission to upload files to this project, or another upload is still running. Wait for it to finish.
The file was rejected Its type is not in the table above. .mov and HEIC are the usual culprits.
A file failed part-way Try again. If it keeps failing, it may be over the size limit for your organization.
No Delete in a file's menu You do not have permission to remove files.
